    A
  • The Account Number is used to set the accounting type of a Project or WBS activity expense. For example, the Account Number for an employee OT expense should be different than the Account Number of a facility booking expense.
  • VimBiz offers a detailed location hierarchy (Region/Building/Area/Room/Rack/Shelf/Bin), areas are part of a building and are managed in the Location tree found in the Manage Assets, Manage Rooms or Manage Stockrooms form.
  • An asset is a piece of equipment or software identified by a unique identifier, normally via a barcode or RFID tag. Because of this unique identification, VimBiz can monitor how assets are purchased, assigned, serviced, and used. This complete asset life-cycle management capability allows companies to know where fixed and mobile assets are located, monitor asset status, and determine true costs of asset ownership.

  • VimBiz offers a detailed location hierarchy (Region/Building/Area/Room/Rack/Shelf/Bin), bin is the lowest level possible. Bins are managed in the Location tree found in the Manage Assets, Manage Rooms or Manage Stockrooms form.
  • A Booking Type represents a preset facility booking template. Facilities can be booked for different types of media productions, and each facility can be booked for many types of productions, each of which requires different amounts and types of labour resources and technical resources. The Booking Type template contains the details of the required resources and the related offset time and duration for each.   Example #1: Booking Type "TV Stud 3 cam" will book three camerapersons, a video switcher, an audioperson, an assistant, and a director. Example #2: Booking Type "TV Stud 4 cam" will book: four camerapersons, a video switcher, an audioperson, an assistant, and a director.
  • VimBiz offers a detailed location hierarchy (Region/Building/Area/Room/Rack/Shelf/Bin), building being the second level. Buildings are added in the Manage Rooms form.
  • C
  • Managed in the Cable Types form, cable types illustrate with an image how to connect a piece of equipment with another.
  • The VimBiz Product Catalog is the inventory of products used by the company. VimBiz can manage a list of products for the inventory of technical assets and stockroom items. Product inventory is used by the Rental module and the Service module, as well as when defining facility inventory. Product inventory is also used in the Project Management module to track additional project activity expenses.
  • Charge Back is the process of "recovering" the usage cost of a department's resources (linked to a "seller" cost center) from a requesting cost center and project number (the "buyer"). Each production project activity can be flagged to enable the charge back process. When enabled, the Charge Back flag will ensure that the activity is ready for the charge back process, to be sent to finance.
  • A contact is a person known by someone in your organization. VimBiz allows for a complete list of fields that will keep all information needed about contacts managed in the Manage Contacts form.
  • Content is the media production title or episode.
  • Content Genre is the type of media production.
  • Contract Periods contain a fixed number of hours per period, expressed in number of months with a start date. The Contract Period contains average hours per day and a fixed number of days per period. Contract Periods are assigned to employees to track the total regular hours to be planned per period. VimBiz uses the employee's assigned Contract Period hours to plan the exact quantity of hours per period.
  • A Cost Center is a type of Resposibility Center which is used to track the cost of operation. In VimBiz, production activities are linked to cost centers, such as booking events, purchase ordes, service requests, rentals, etc. Financial reports are generated by cost centers. Cost Centers are transfered to the financial system to track cost per Cost Center.
  • A customer can represent an external organisation or an internal organisation, which is linked to a project, a quote, and an invoice.
  • D
  • The date-based setting records when a Start Date and End Date will be valid for the activity date during the period starting on the Start Date until the day before the next Start Date. Only the Start Date is used for the scheduling and timecard processing. The End Date is for information only and is not used for processing. For settings with multiple records, the setting selected will be the record in the period between the different Start Dates, or the last Start Date.
  • In the broadcasting industry, a discrepancy is an inconsistency with what was planned to go on air and what went on air. Discrepancies are managed in the Discrepancies module.
  • Divisions are managed in the Manage Divisions form. Employees can be assigned to different divisions and therefore only see assets that are part the division(s) they're part of.
  • E
  • An e-document is any electronic file stored in the VimBiz database.
  • Employees are users who may be internal staff, external employees (freelancers) or labour resources. A VimBiz user is linked to an employee. VimBiz manages the details of each employee profile to manage the scheduling rules and limitations.
  • The employee contract contains working conditions, which are used by the VimBiz Scheduling module to provide warnings when these working conditions are not respected. The Employee Contract's Day Segments are used by the Claim Automation System to apply different claim codes based on the time of the day worked by the employee.
  • This is a contract rule found in the Employee Contracts form. Encroachment happens when a minimum of hours is not respected between two shifts assigned to an employee.
  • This External Project ID field is the Project ID from the external financial system.

  • A facility can be one or many Rooms, one or many Assets, or a combination of Room(s) and Asset(s) or Kits. Facilities are scheduled using the Resource Scheduler form.
  • G
  • Gauges are VimBiz desktop image objects that are used to notify users of key numbers and statistics that require immediate actions, as well as alert managers who require quick summaries of their operation in real time.VimBiz main screen.
  • H
  • Heavy users typically uses VimBiz as their everyday tool. Heavy users can create and modify data in VimBiz. Heavy user access to various modules and forms is defined by their User Group.
  • Holidays are a list of dates that represent public holidays for employees, and can be grouped for employees from different regions or religious backgrounds. Holidays can be configured as Statutory (Official) which will be scheduled by default, respecting the settings in the employee's profile.

  • A complete list of products (parts) in stock or out of stock. The VimBiz inventory can be accessed via the Manage Stockrooms form.
  • K
  • Kits are a combination of product(s) and/or asset(s). Kits are normally used within the VimBiz Rentals solution, and can also be configured as a facility resource and booked as a production resource (ex: Wireless Microphone Kit, Drone Camera Kit).
  • L
  • VimBiz is a multi-lingual ready application. With the help of a translation table found in the Translations (Application) form, all terminology used in VimBiz can be translated accordingly. A user can change their preferred language in the Change My Language form.
  • A VimBiz light user has limited read-only access to VimBiz. They can consult published schedules, as well as submit their timecards, absence requests, resource requests, rental requests, and service requests. Light users do not require a user licence.
  • A location is defined by the hierarchy Region/Building/Area/Room/Rack/Shelf/Bin and is where assets or products are stored. A location can also be an address. Everything that has to do with a location is managed in the Start/Administer/Location menu.

  • A manufacturer is linked to a VimBiz product and represent the company who makes the product.
  • Master projects are used to group Production Projects with a higher hierarchy.

  • In the Rentals module, an item or a Rental that is "not resolved" means that the item or the Rental contains at least one item for which we don't have an asset or we don't have as a product in stock.
  • O
  • In the Resource Scheduler form, occurrences exist when recurrence is set on a Schedule Event.
  • P
  • Preventive Maintenance Inspection.
  • Purchase Order
  • A product kept in stock by the organization. Parts are managed in the Manage Stockrooms form.
  • Assemble a list of assets for bulk changes, status tracking, reporting, travel carnet, etc via the Asset Pick Lists form.
  • Device polling refers to a technique that lets the operating system periodically poll devices, instead of relying on the devices to generate interrupts when they need attention. Polling gives more control to the operating system on when and how to handle devices, with a number of advantages in terms of system responsiveness and performance. The VimBiz Poll Devices form contains the different configurations allowing to poll as many devices you want.
  • While working on a Service Request, a pre-defined action is a common activity performed by the servicing technician and added to the list of all pre-defined actions.
  • Pre-defined notes are inserted in a pre-defined service request. Essentially, if such notes are inserted in a pre-defined service request, when that service request is selected when creating a new service request, those pre-defined notes will appear as a reminder of details to collect prior to submitting the service request.
  • Products are the records in the Catalog of products used by the company. VimBiz can manage the list of products for the inventory of technical assets and stockroom items. Product inventory is used by the Rental module and the Service module, as well as when defining facility inventory. Product inventory is also used in the Project Management module to track additional project activity expenses.
  • VimBiz Projects contain the planned activities: resource requests, employee events, facility events, rental contracts, travel details, expense reports, etc. The production project will track costs and important information (notes and electronic documents) regarding planned project activities. VimBiz production projects assist with the planning and execution of activities, as well as the management of the cost to respect the budget. In VimBiz, a production project can be linked to a customer, cost center, etc.
  • An undertaking that involves considerable money, personnel and equipment. In VimBiz, a project can be linked to a customer, cost center, etc. In a VimBiz project we can find tasks, invoices, assets, e-documents and purchase orders. The project will facilitate time management and budgetary limitations.
  • The Project ID is the unique VimBiz ID of the project.
  • Project Tasks can represent a phase in a Production Project.
  • Q
  • A quote is the draft of an invoice when ordering a product.

  • VimBiz offers a detailed location hierarchy (Region/Building/Area/Room/Rack/Shelf/Bin). Racks are managed in the Location tree found in the Manage Assets, Manage Rooms or Manage Stockrooms form.
  • The cost of resource utilisation is tracked using a centralised list of rates. Rates are date-based, as they can be updated for a specific period. Rates contain separate configurations for Cost (internal cost rate) and for Price (commercial rate).

  • Daily Regular Hours are the normal, or planned, hours for which an employee is paid per day, as per their contract. When the employee works more than their planned Regular Hours, the additional hours are considered as overtime hours.
  • A rental is the request of using a product or an asset for a determined period of time. Rentals are managed in the Manage Rentals form.
  • Document presenting focused, relevant content to the user. Various reports are available throughout VimBiz. Reports can be created using Crystal Report Writer or by contacting Vimsoft for report creation services.
  • Group of Employees and/or Facilities, which allows an overview of technical and human resource schedules in a single schedule.
  • Unit in the organization that has control over costs, revenues, or investment funds. For accounting purposes, responsibility centers are classified as Cost Centers, Revenue Centers, Profit Centers, and Investment Centers. Responsibility Centers are managed in the Responsibility Centers form.
  • A role is a skill or the type of work an employee can perform.

  • Rotation Days is the days in a Team of Employees' full Rota schedule.

  • Service Request
  • A scheduled activity with specific start time and duration for a resource; technical or human resource.
  • The person using the Scheduling module to schedule human and technical resources.
  • Part of a service contract where the level of service is formally defined.
  • A VimBiz Service Center is a department which can contain technical resources and labour resources. Each Service Center has a manager, who can manage their rental operation or the resources for scheduling and timecard processing.
  • A request to perform a service, such as repair or preventive maintenance, on an asset.
  • VimBiz offers a detailed location hierarchy (Region/Building/Area/Room/Rack/Shelf/Bin). Shelves are managed in the Location tree found in the Manage Assets, Manage Rooms or Manage Stockrooms form.
  • Information gathered during an employee's shift.
  • A collaborative tool between employees and their managers, to communicate scheduling preferences. Most often used for Absence-type requests – vacation, time in lieu, or other absence types; can also be used to indicate Availability, which is a popular option for freelance workflows.
  • VimBiz has shift-template-based tools to plan the minimum required shifts, per day, for recurring resource requirements. Planning resource requirements for some department like technical support or news productions requires rotation scheduling, which can be achieved with Shift Requirements.
  • Shift Templates are used to quickly schedule employees with pre-set shift details. A Shift Template has preconfigured details that will be copied to any employee, for any day.
  • A group of kit(s) and/or product(s) and/or asset(s).
  • Simple Mail Transfer Protocol is an Internet standard for electronic mail (e-mail) transmission across Internet Protocol (IP) networks.
  • A room in which a store of goods or materials is kept. VimBiz stockrooms can contain assets or parts and are managed in the Manage Stockrooms form.
  • The middle man between the manufacturer and the retailer.
  • T
  • A Team is a group of employees, which allows an overview of their schedules in a single overview.
  • A Timecard is a container for the employee's actual hours for one week. Timecards are generated from the employee published schedules. Employees can updates their timecards if their actual hours are different than their published hours. Claims related to absence, overtime and premiums are automatically calculated for each day, based on pre-set claim rules. Timecards are submitted and authorized before being exported to HR and Payroll, on a monthly, weekly or daily basis.

  • Users are managed in the Manage Users form, and are linked to an Employee. Users are assigned permissions to access a limited number of workflows in VimBiz.
  • V
  • A public building or a public facility that represents the location of the planned production. Venues can be configured with an address and any related documentation.
  • VimDev is a proprietary development framework utilizing encapsulated, reusable components which reduces the need for development of custom code in VimBiz.
  • A live Product Catalog hosted on a server at Vimsoft's head office that contains thousands of products and is growing every day.
  • VimBiz allows users to create a technical or a labour “Virtual” Resource, to be used as a placeholder resource.
  • W
  • Workflows are created by Vimsoft to facilitate permissions management in VimBiz. A workflow represents an operation or an activity that can be processed by the user. Each workflow contains the permissions for the forms, tables, views, and stored procedures required to perform the specified workflow.
  • Working conditions can be configured in each employee profile, and in the employee contract. Working conditions are used by the VimBiz Scheduling Solution to provide warnings when they are not respected. Working conditions can also be used by the VimBiz Auto-Scheduler, to ensure that the proper human resource is assigned to a requirement.
